Contact details: your name, email address, phone number and, where applicable, your address.

Data from your intake form: your age, your goals, your sports and exercise habits, your eating habits, your sleep and your lifestyle.

Health data: information about injuries, complaints, medical conditions, medication and other data about your health that you share yourself. This is sensitive data, and I only process it with your explicit consent.

Progress data: during the coaching, possibly measurements such as weight, body measurements, training results and, if you agree, photos to track your progress.

Billing data: the data needed to invoice you correctly.

Website data: when you visit my website, technical data may be collected, such as your IP address, the type of browser and which pages you view. You can read more about this in section 8.

3. Why do I collect this data?

I only use your data for the following purposes:

  • to answer your questions and schedule an intake meeting;

  • to develop personalised training and nutrition advice for you;

  • to ensure your coaching is safe, taking your health into account;

  • to track your progress;

  • to handle my administration and invoicing;

  • to comply with my legal obligations;

  • to send you my newsletter twice a year, with tips, news and offers from HNK coaching. You can unsubscribe at any time via the link at the bottom of each newsletter.

I never use your data for any other purpose, and I never sell it to third parties.

4. On what basis do I process your data?

  • Performance of a contract: to be able to provide your coaching.

  • Explicit consent: for your health data and any progress photos. You give this consent via the intake form. You can withdraw it at any time by sending an email.

  • Legal obligation: for my accounting and invoicing.

  • Legitimate interest: for the proper functioning and security of my website.

  • Newsletter: clients receive the newsletter because it relates to their coaching. Others only receive it if they have given their consent. You can unsubscribe at any time, with a single click.

5. With whom do I share your data?

I only share your data with parties I need to provide my services, and only to the extent necessary:

  • Google (Google Workspace and Google Forms): for email and to process and store your intake form.

  • Squarespace: the platform my website runs on.

  • VirtuaGym: the app I use to share training and nutrition plans and to track your progress.

  • My accountant: for the legally required administration.

Some of these parties may process data outside the European Union, for example in the United States. They do so on the basis of the legal safeguards provided by the European Union for this purpose, such as the EU-US Data Privacy Framework or standard contractual clauses.

I never share your data with other parties, unless required to do so by law.

6. How long do I keep your data?

  • Intake without further coaching: I delete the data of people who fill in an intake form but do not start coaching within 6 months.

  • Client file (including health and progress data): for as long as the coaching lasts, and then for a maximum of 2 years afterwards, so that I can continue to help you properly if you come back. After that, it is deleted.

  • Billing data: for as long as the law requires for accounting purposes.

  • Newsletter: until you unsubscribe.

You can always ask for your data to be deleted earlier, unless I am legally required to keep it.

7. How do I secure your data?

I take appropriate measures to protect your data against loss, misuse and unauthorised access. Your data is only accessible to me. I use secure accounts with strong passwords and two-step verification, and I do not share your file with anyone else.

8. Cookies and your visit to the website

My website runs on Squarespace.   • have your data erased;

  • have the processing of your data restricted;

  • receive your data in a commonly used format, or have it transferred to someone else;
